Handbook / Running the job
The team on a job
A client should never have to ask who is looking after their job.
Three groups end up on a project, and the team tab keeps them apart because they are reached differently.
- In the office - the project manager, the estimator, whoever does the billing, and one person marked as the internal contact: the name the client and the crew call first. Only one person holds it at a time.
- On site - contractors and subcontractors assigned to the job as a whole, with their trade and a phone number.
- Through work orders - anyone rostered onto a specific work order is on the job whether or not they were assigned to it separately, and appears here with a count of what they are on.
Assigning somebody emails them, with a link that opens the job in Field Mode on their phone rather than in the office view they cannot use on site.
My desk
Every office member has a page of their own: the jobs they are the internal contact for, what is waiting on them today, their open enquiries, and every client and vendor they need to stay in touch with - with the phone number right there, because the answer to "who do I need to ring" should not require three clicks.
Undoing things
| What happened | The way back |
|---|---|
| Wrong person as internal contact | Assign the right one. The role only ever belongs to one person, so the old one is released automatically. |
| Somebody removed from the team by mistake | Add them back. Their work orders, hours and photos were never touched. |
| They left the company | Deactivate the user rather than deleting them. Everything they logged keeps their name on it. |
Access: Project management to change the team; anyone on the job can see it.
