Handbook / Across everything
Discussion, mentions and sharing
Every record takes the same thread, so the conversation lives on the thing it is about rather than in somebody's inbox.
Projects, estimates, proposals, work orders, change orders, invoices, pay applications, purchase orders, RFIs, submittals, punch items, daily logs, clients, vendors, leads, properties and milestones all carry the same thread. Records without a page of their own - a punch item, a daily log - get it in a dialog raised from wherever they are listed.
What a thread carries that a comment box does not
| Feature | What it does | Why it matters |
|---|---|---|
| Replies | An answer sits under its question | Rather than three notes further down, out of context |
| Mentions | Type @Marcus and it reaches Marcus | An email, and an unread mention that clears when he reads the thread |
| Settled | Mark a point dealt with | The next person reading knows it was handled, not ignored |
| Pinned | One note held at the top | The thing anybody opening this record needs to know first |
| Shared | The client sees it on their copy | The difference between "ring the supplier" and "here is why the date moved" |
A first name counts as a mention only when one person answers to it - two Sams and you have to say which. An email address in the middle of a sentence is not a mention.
Notes are internal by default. Sharing one is a deliberate act, and it is shown as shared on the note so nobody is in any doubt about who can read it.
On the Harlow job the project manager asked @Joel to confirm the island field measure before the countertop template was released. Joel replied underneath it the next day. A separate note about dust getting past the containment was marked settled once the second layer went up, and a note about the cabinet delivery date was shared so Eleanor could see it.

The admin panel carries a company-wide feed of every note, filterable to paperwork only, to what is still open, or to a phrase somebody used. Useful when you know somebody raised something about a supplier and cannot remember where.
Undoing things
| What happened | The way back |
|---|---|
| Typo in your own note | Edit it. It is marked as edited so nobody is surprised. |
| Editing somebody else's note | Refused. You can only edit your own. |
| Settled too early | Reopen it. Who settled it is cleared. |
| Shared a note that should have stayed internal | Make it internal again - but the client may already have read it. Assume they did. |
| Deleting a note | Goes for everyone, along with any replies underneath it. Yours to delete; anything else needs people management. |
Access: Anyone with field access can post. Reading a thread needs access to the record it is on.
