Photos and files
Every photograph carries who took it, when, and what it belongs to.
Files attach to a lead, a client, a project, a work order, a change order, an RFI, a submittal, a punch item, a purchase order or a daily log. Whatever you attach it to, it also lands in the project's gallery and the client's folder, so there is one upload and three places it can be found.

Files also carry an origin. A photograph the client emailed in before the job existed is marked as theirs, with who sent it and when, and it is kept apart from the crew's own progress shots. Those are the pictures showing what everybody was looking at when the price was agreed.
Documents work too - PDFs, drawings, spreadsheets. Generated documents (proposals, invoices, change orders) file themselves here automatically when they are sent, marked as generated, with older copies superseded so the current one is always on top.
Undoing things

| Wrong file uploaded | Delete it. Whoever uploaded it can delete their own; managers can delete any. |
| Attached to the wrong record | Delete and re-upload against the right one. |
| Deleted something needed | The file is gone from disk. There is no recycle bin. |
Access: Uploading needs field access; everyone who can see the project can see its photos.
